The Role

As the Academic Services Administrator you will provide administrative support to a wide range of academic and quality assurance areas of activity and to work closely with the student services, operations and academic teams to provide support to students, colleagues, and other customers and stakeholders.

Main responsibilities and functions

Reporting to the Head of Student and Academic Services, you will be responsible for:

  • Coordinating all functions of the Academic Services team to ensure the smooth running of the office and accountability in all areas
  • Managing and maintaining the college’s student data management system ( and hard copy files to ensure student records are accurate and up-to-date
  • Responding to academic-related inquiries from students, staff and visitors either in person, by telephone or e-mail
  • Assisting in the production and distribution of the annual Academic Calendar
  • Supporting the student registration process and related processes to ensure students are fully enrolled, in conjunction with colleagues from the Student Services and Operations team
  • Overseeing and administering the production and distribution of student and staff timetables
  • Coordinating the process for the distribution, return and processing academic feedback questionnaires
  • Providing advice and guidance on academic regulations, including academic appeals and academic misconduct with reference to Quality Manual
  • Quality reviewing examination papers and ensuring they are printed in a timely manner to meet requirements
  • Assisting with the planning and organisation of examinations and other assessments
  • Communicating with staff and students regarding examinations and other assessments
  • Supporting College-level arrangements regarding the External Examiner system
  • Maintaining student records of achievement, communicating academic results to students and producing academic progress reports and transcripts
  • Taking of minutes at Assessment Boards
  • Providing assistance to the Senior Management team and Academic staff
  • Assisting in the development of Academic Services-related information for circulation to students via the Virtual Learning Environment (VLE) and through other communication channels
  • Any other duties as required from time to time by senior management.



About you

You will enjoy the prospect of working with international students, be committed to providing excellent customer service and be a strong good team player. In addition, it is essential you have:

  • Experience of working in a busy and proactive customer service office environment
  • Demonstrable interest in working with students and, in particular, international students
  • Experience of working with large data management systems and strong record keeping skills
  • Excellent organizational skills with attention to detail
  • A willingness to work flexibly and to tight deadlines when necessary
  • Good written and verbal communication skills, including a pleasant and professional manner
  • Strong administrative IT skills (Microsoft, etc.)
  • Enthusiasm and motivation to be a key member of a performance-driven team

In addition, it would be desirable for you to have experience of:

  • Working with students and, in particular, international students
  • Administration work in an education environment
  • Organizing examinations and/or other types of assessment
  • Handling confidential data
